Position Overview
The University of Calgary Medical Group in the Cumming School of Medicine is currently seeking a Full-time Regular Billing Clerk.
This position reports to the Manager, UCMG.
The position is responsible for tasks relating to the Alberta Health Care billing function for a number of members of the University of Calgary Medical Group.
High Attention to detail is critical for this position.
Position has moderate to high physical demand for keyboarding of up to 6.5 hours per day. Work is constant pace.
Work volume may be high at times where turnaround times are critical, high accuracy and productivity standards must be met and maintained. Timely submissions is critical as the submissions will affect the livelihood of physicians and their practice.
It is the billing clerks’ responsibility to ensure billings are received in a timely fashion and consistently to limit peaks and valleys in workload.
Work is driven by constant deadlines and may require flexibility regarding overtime.
Works with Alberta Health billing processes, rules & regulations.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
- Accurately enter information provided by physicians into the required format for submission to Alberta Health, using the approved software
- Accurately submits both Shadowing billings and Fee for Service Billings; additional special one-off billings may also be requested, eg out of province and travel insurance
- Researches, as required, to provide all necessary information to maximize recovery of billings according to Alberta Health rules & regulations (does not include research of the initial claim data)
- Physician members should provide all patient & billing information on billing books including the appropriate diagnostic & health services codes, some researching info required
- Billings are submitted electronically to UCMG Accounting Services on a regular basis – minimum standard is no less than once a week & must adhere to Alberta Health deadlines
- Understand why and resubmits refused billings as required, researching for correct information & making required changes to maximize recovery of rejected claims
- Develop and establish good relationships
- Comfortably address late submissions and issues with Alberta Heath and physicians
- Decode physician handwriting and comfortably address with physician when writing is not legible
- Advises members of additional information required to submit.
- Reconciles claims, payment & rejection information on behalf of the members.
- Upon completion of reconciliation & resubmission processes, creates and forwards weekly report to the member
- Coordinates and communicates with IT staff, UCMG Accounting Services and physician’s staff (administrative & other billing clerks) and assigned physicians to ensure correct information is provided for submission
- Reconciles claims, payments & rejection information received on behalf of the members on a regular basis. At a minimum this must be done every 3 to 4 weeks
- Teaching/training new physicians, updating physicians on new relevant codes to their specialties
- Helping/training new employees
- Versatile to cover other employees during vacation, absences, and in high volume times
- Ability to enter high amounts of data while reasoning and correcting data with regards to rules and information, common sense needed
Qualifications / Requirements:
- High School graduation required
- Preference given to graduates of MOA or equivalent program with emphasize on previous medical billing experience
- 3 to 5 years of related experience with data entry
- Administrative experience/background an asset
- Excellent knowledge & skills using Microsoft Office Suite
- Knowledge of and/or experience with Alberta Health billing processes, rules & regulations required
- Previous experience using billing systems preferred.
- Knowledge of & ability to research for information on Alberta Health Care billing requirements
- Ability to perform accurate monitoring of the billing & reconciliation functions of the software program& statement of assessment
- Excellent verbal & written communication skills
- Must be comfortable addressing issues with Alberta Health and Physicians
- Able to prioritize workload with frequent interruptions and stressful situations and deadlines. Ability to work under pressure and demonstrate good judgement and strong work ethic
- Ability to adapt to different specialties, preference and skill codes with applicable rules, codes and decoding handwriting
- Demonstrated high accuracy level with data entry Judgement and decision making relative to correct coding and entering and ability to find correct information
- Understanding of Freedom of Information & Privacy and Patient Confidentiality an asset
- High volume of data entering per day
